Overview
Ryjo Technologies (“Ryjo,” “we,” “us,” or “our”) provides security, facility, and field-service solutions for businesses. This Privacy Policy applies to ryjotechnologies.com, our customer portal, and the related request, scheduling, service, and closeout workflows (collectively, the “Services”).
Our privacy commitments
- We do not sell personal information or share it for cross-context behavioral advertising.
- Customer-level portal access requires approval or an invitation; it is not granted automatically based on an email domain.
- We use personal information to operate, secure, and improve the Services and to fulfill business requests.
The Services are intended for business representatives, customers, technicians, and approved subcontractors in the United States. If you use the Services for an organization, your organization may also control information associated with its account and service work.
Information we collect
Depending on how you use the Services, we may collect:
- Contact and organization information, such as your name, business email, telephone number, company, facility type, location count, and project timeline.
- Account and identity information, including your email address, display name, authentication provider identifier, organization membership, role, and customer or billing account association. If you sign in with Google, Microsoft, Apple, or another provider, we receive the account details you authorize the provider to share; we do not receive your provider password.
- Site and request information, such as service addresses, site contacts, access instructions, requested work, preferred dates, comments, quote details, and photos or documents you upload.
- Service and closeout records, including technician assignments, proposed and confirmed schedules, work logs, materials, completion notes, approvals, and typed signatures.
- Device, usage, and security information, such as IP address, browser and device data, timestamps, authentication events, audit records, and diagnostic information. We may transform an IP address into a one-way identifier for spam prevention instead of retaining the raw address with a public lead.
We receive information directly from you, from an authorized user at your organization, from technicians or subcontractors working on a request, from identity providers you choose, and automatically when you use the Services.
How we use information
We use information to:
- respond to demo, site survey, quote, and service requests;
- review account eligibility, manage approved access, and maintain customer, technician, and administrator accounts;
- plan and document work, coordinate technicians, confirm schedules, communicate status, and complete signed closeout records;
- provide customer support and send operational messages, including account, scheduling, request, and service notifications;
- prevent spam, fraud, misuse, and security incidents; inspect uploads; enforce our terms; and protect people, sites, and systems;
- monitor performance, troubleshoot, improve the Services, comply with law, and establish or defend legal claims.
We may aggregate or de-identify information so it no longer reasonably identifies an individual and use that information for lawful business purposes.
How we disclose information
We may disclose information to:
- Service providers that support hosting, databases, email delivery, authentication, file inspection, security, analytics, and connected job-management systems when enabled.
- Your organization and service team, including authorized administrators, assigned technicians, and approved subcontractors who need the information to evaluate or perform work.
- Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, property, or the integrity of the Services.
- Transaction participants in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business, subject to appropriate confidentiality protections.
We do not sell personal information. We also do not share personal information for cross-context behavioral advertising.
How long we keep information
We retain information only for as long as reasonably necessary for the purposes described in this policy, including to provide the Services, maintain business and service records, comply with contracts and law, resolve disputes, and protect the Services.
- Unqualified public demo requests are generally deleted after 90 days. Qualified leads and resulting business records may be retained for up to ten years when needed for sales, contracting, or legal records.
- Sent or cancelled notification records are generally deleted after 90 days; failed notification records may be kept for up to 180 days for troubleshooting.
- Customer, site, service, upload, signature, closeout, and audit records are retained according to the applicable contract, legal and warranty requirements, security needs, and Ryjo’s records schedule.
Backup copies and records that must be preserved for legal or security reasons may remain for a limited additional period.
How we protect information
We use administrative, technical, and physical safeguards designed to protect information. Depending on the feature, these can include restricted account approval, role-based access, protected file links, upload validation and malware inspection, audit logging, and transport encryption.
No method of transmission or storage is completely secure. Please use a strong account with your identity provider, protect your devices, and avoid uploading payment credentials, medical information, government identification numbers, or other highly sensitive information unless Ryjo has specifically requested and approved it.
Your choices and rights
You may ask to access, correct, or delete personal information, or to receive information about how it has been used or disclosed. Depending on where you live, you may have additional rights, including rights to obtain a portable copy, restrict or object to certain processing, or appeal a decision.
To submit a request, email [email protected]. We may verify your identity and authority before acting. Some information may be exempt from a request or retained where required by a contract, law, security need, or legal claim. If your organization controls the information, we may direct your request to its account administrator.
You can opt out of non-essential marketing messages by using the unsubscribe link in the message. You will still receive necessary operational and service communications.
Children's privacy
The Services are designed for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, please contact us so we can review and delete it where appropriate.
Changes to this policy
We may update this Privacy Policy as the Services, our practices, or legal requirements change. We will post the updated policy here and revise the effective date. If a change materially affects how we use personal information, we will provide additional notice when required.
